3 Practical Tips Every SAP Business One User Should Know
3 Must-Know SAP Business One Tips for Users
Whether you're just getting started with SAP Business One or have been using it for years, some helpful features are easy to overlook. From avoiding login frustrations to customizing your display settings and accessing built-in support tools, these quick tips will help you navigate SAP Business One more efficiently and get more value out of your ERP system.
These are tips that apply to all users. There are common functions we don’t use often and tend to forget about until we need them.
1. How to log in SAP Business One
The SAP Business One login screen is normally a straightforward experience - except when it’s not.
The most common case that comes up all the time is to remember: passwords are case sensitive. Make sure you enter your password carefully. Check that your caps lock key is off.
Sometimes the company shown on the screen is not the one you want to log into, or no company appears at all. Normally, SAP will preselect the last company you logged into. If that’s not the case, click the Change Company button at the bottom for the Login screen and select the correct Company from the list, and then enter your username and password.
If you make too many failed attempts, SAP Business One will lock you out. You need to contact an administrator who can login and clear you. The number of times you can have an unsuccessful login is determined by your administrator. By default, it is 3 times.
2. How to optimize the display of your SAP Business One desktop screen.
If you ever struggle with small print size on SAP screens, or the language fields display in, you can adjust these settings.
In the Toolbar at the top of the SAP Business One desktop there is a Button called Personal Settings. Click this button to see the options:
In the Personal Settings screen, select the Display settings:
Here you can solve many display problems.
The most common is Font Size. Using the drop-down menu you can select a larger or smaller font size, depending on your needs. The font you select will preview in the window below the selection. Note that if you make the font too big it will impact how the screens display on your computer desktop, sometimes hiding buttons or fields.
If you don’t like or have trouble due to the choice, select the Restore Defaults button to reset the display.
Select Update at the bottom of the screen to save. The settings should now always default for you based on your selection.
The language screen works the same way. The drop-down menu displays all the languages supported by SAP Business One. The menus and screen labels in SAP will now display in your selected language.
Note that not all of these options may be available, depending on settings made by the system administrator.

Now… what you can do directly from your SAP Business One system?
When logging into SAP Business One, you may be set up to see the Welcome screen. This screen contains links to a series of Help:
Besides the Welcome Screen all these links and more are available in the Business one toolbar at the top of the desktop. Opening the Help Menu also has a shortcut to open the Welcome screen.
New users are especially encouraged to explore and use these links. The Documentation link is a good place to start when looking for information or answers to SAP functions.
Lastly, there is context-sensitive help available on the Business One toolbar, or by Pressing the F1 key while on any SAP screen.
Here you will get information about the specific screen you are using, with links to other related information.
